The Dayton Veterans Administration Medical Center (VAMC) has a requirement to provide preventative maintenance to all reverse osmosis systems and water softeners. The intention of this Sources Sought is to obtain information only. Please do not send a proposal. Requested information: To aid acquisition planning, we re seeking capable and interested firms for the information requested. Contract Title. RO and Water Softener & Hemodialysis Services Background: Contractor shall provide all parts, material, labor, and supervision, to provide services necessary to provide services within this statement of work. Scope: Provide preventative maintenance to all reverse osmosis systems and water softeners. Must strictly adhere to latest versions of ANSI/AAMI ST108- Water for Processing Medical Devices and VHA Directive 1061 Prevention of Health Care Associated Legionella Disease and Scald Injury from Water Systems. Specific Tasks: Vendor will report to Robert Rhoad (COR) in the engineering department prior before and immediately after completion of services. Worker(s) will wear identification badges provided by VA when working on the VA campus or VA leased property. Keys may be picked up in B-128, room 133A. Keys are to be returned to B-128, room 133A at the end of each day. All service reports will be emailed to Robert.rhoad@va.gov Reverse Osmosis (RO) and Water Softener Services Sterile Processing System Provide monthly preventative maintenance service to RO/DI system. Change RO prefilter cartridge monthly. Provide carbon exchange tank semiannually. Provide DI tank exchange as needed (based on water usage) for (6) DI tanks. Change (5) post DI 5-micron filter cartridges quarterly. Change (5) post UV .2-micron filter cartridges quarterly. Change UV lamps annually. Change storage tank vent filter annually. Chemical disinfection of reverse osmosis system and ozone disinfect specific to the water system distribution loop monthly during non-operating hours. Reverse Osmosis System: SPS Evoqua Model # M41RSBVVOO3FND Water Softener Services Provide monthly preventative maintenance service to (6) water softeners Inspect, test water hardness, note all data, and submit reports monthly. Perform repairs as needed. Recommend upgrades to equipment as needed. Provide salt for softeners (Steam Plant not included). B330-2B100 RO System Provide monthly preventative maintenance service to RO system Inspect equipment, document equipment readings, supply a report on equipment to Include any recommended repairs. Change RO prefilter cartridge monthly. Annual Replacement of RO Membranes Hemodialysis and Lab Purification Equipment Preventative Maintenance Monthly Preventative Maintenance Service visits where all operational conditions are all logged and evaluated. Provide six (6) Model DI-451447E, Ultra-pure mix-bed deionized exchange tanks. DI Exchange tanks are installed in a primary/secondary arrangement. Provide three (6) Model CA-111447E carbon tanks installed in a primary/secondary arrangement. Includes making minor adjustments on an as needed basis during the service to ensure proper operation of the system. Laboratory - Provide two (2) DI-451447E Ultra-pure mix-bed deionized exchange tanks. DI Exchange tanks are installed in a primary/secondary arrangement. Provide Model 20-5013 carbon block per-filter to be replaced each time deionizer tank is exchanged. Additional filters will be billed at current price. Provide two (2) Model 20-3046 endotoxin post filter and replace every six (6) months. Provide replacement UV components. Chemical disinfection of reverse osmosis system and ozone disinfect the water system distribution loop monthly during non-operating hours. Provide copies of any relevant license or certification. Models may be updated or changed in the duration of this contract. Performance Monitoring: All work will be signed off by COR once completed. Security Requirements: The C&A requirements do not apply, and a Security Accreditation Package is not required. Government-Furnished Equipment (GFE)/Government-Furnished Information (GFI). None Other Pertinent Information or Special Considerations. a. Identification of Possible Follow-on Work. N/A b. Identification of Potential Conflicts of Interest (COI). None c. Identification of Non-Disclosure Requirements. None d. Packaging, Packing and Shipping Instructions. Any packing slips and shipping labels will include the PO#. If there are equipment/supplies a shipping confirmation should be provided to the COR and delivered to Dayton Veterans Affairs Medical Center 4100 W Third St Building 143, Dayton, OH 45428 e. Inspection and Acceptance Criteria: Will be guided by site COR, Robert Rhoad. Place of Performance: VA Medical Center 4100 W. Third Street Dayton, Ohio 45428 Period of Performance: Base+4 FFP Beginning early October 2026. Delivery Schedule: All work will be conducted during normal business hours, Monday Friday, 0800-1630 except on federal holidays.
